You can manage your WhatsApp Business Account conversations directly from Chatwoot. This guide gives you an overview of both methods, their differences, and links to detailed step-by-step instructions. Prerequisites - A Meta (Facebook) developer or business account - A valid phone number (not already tied to another WhatsApp Embedded Signup flow, unless migrating) - A Chatwoot workspace with WhatsApp feature enabled Step 1: Go to Inboxes 1. How to enable Business Bots? 1. In @BotFather run /business_mode, choose your bot, and confirm. 2. Create a new Telegram inbox in Chatwoot (Settings → Inboxes → Add Inbox → Telegram) and paste the same bot token. 3. Chatwoot auto-detects Business Mode and registers the correct webhook. 4. For best results, keep this Business bot in its own inbox, separate from any standard bot you already use. Known issues with Business Bot • 24-hour reply window – Telegram only lets the bot (and Chatwoot) reply within 24 hours of the customer’s last message. • If a user has previously chatted with the same bot outside Business Mode, replies may appear to come from the bot rather than the Business account; creating a dedicated Business bot & inbox avoids this confusion. • The Telegram Business API is currently less feature-rich than the regular Bot API (e.g., no typing indicators, limited message types). Keep expectations accordingly.

E.g., You can have more than one Facebook page connected to a Chatwoot account. Each page is called the inbox in Chatwoot. 3. Conversation: A Conversation is a collection of messages. 4. Contact: Each conversation has a real-life person associated with it, called a contact. 5. Contact Inboxes: This is the session for each contact in an inbox. A contact can have multiple sessions and multiple conversations in the same inbox. How to send a message in an API Channel? To send a message in an API channel, create a contact, initiate a conversation, and finally send the message. APIs require api_access_token in the request header. You can get this token by visiting your Profile settings → Access Token. 1. Create a contact Ref: API documentation Pass the inbox ID of the API channel along with other params specified. This would create a session for you automatically. A sample response would look like the one below. { "email": "string", "name": "string", "phone_number": "string", "thumbnail": "string", "additional_attributes": {}, "contact_inboxes": [ { "source_id": "string", "inbox": { "id": 0, "name": "string", "website_url": "string", "channel_type": "string", "avatar_url": "string", "widget_color": "string", "website_token": "string", "enable_auto_assignment": true, "web_widget_script": "string", "welcome_title": "string", "welcome_tagline": "string", "greeting_enabled": true, "greeting_message": "string" } } ], "id": 0, "availability_status": "string" } As you can see in the payload, you will be able to see the contact_inboxes and each contact_inbox will have a source_id. Source ID can be seen as the session identifier. You will use this source_id to create a new conversation as defined below. 2. Create a conversation Ref: API documentation Use the source_id received in the previous API call. You will receive a conversation ID which can be used to create a message. { "id": 0 } 3. Create a new message Ref: API documentation There are 2 types of messages. 1. Incoming: Messages sent by the end user is classified as an incoming message. 2. Outgoing: Messages sent by the agent is classified as an outgoing message. If you call the API with the correct content, you will receive a payload similar to this one: { "id": 0, "content": "This is a incoming message from API Channel", "inbox_id": 0, "conversation_id": 0, "message_type": 0, "content_type": null, "content_attributes": {}, "created_at": 0, "private": false, "sender": { "id": 0, "name": "Pranav", "type": "contact" } } If everything is successful, you will see the conversation on the dashboard as follows. You will be notified when a new message is created on the URL specified while creating the API channel. You can read about the message payload here. Receive messages using callback URL When a new message is created in the API channel, you will get a POST request to the Callback URL specified while creating the API channel. The payload would look like this. Find the full list of events supported by the webhook here. Event type: message_created { "id": 0, "content": "This is a incoming message from API Channel", "created_at": "2020-08-30T15:43:04.000Z", "message_type": "incoming", "content_type": null, "content_attributes": {}, "source_id": null, "sender": { "id": 0, "name": "contact-name", "avatar": "", "type": "contact" }, "inbox": { "id": 0, "name": "API Channel" }, "conversation": { "additional_attributes": null, "channel": "Channel::Api", "id": 0, "inbox_id": 0, "status": "open", "agent_last_seen_at": 0, "contact_last_seen_at": 0, "timestamp": 0 }, "account": { "id": 1, "name": "API testing" }, "event": "message_created" } Create Interfaces using client APIs Client APIs available for the API channel will help you build customer-facing interfaces for Chatwoot. These APIs are useful for cases like the ones listed below. 1. Use a custom chat interface instead of the Chatwoot chat widget. 2. Build conversational interfaces into your mobile apps. 3. Add Chatwoot to other platforms for which Chatwoot doesn't have an official SDK. Creating customer objects You can create and retrieve customer data objects using the inbox_identifier and customer_identifier. Inbox Identifier You can obtain the inbox_identifier from your API channel -> Settings -> Configuration. Customer Identifier The customer_identifier or the source_id can be obtained when creating the customer using the create API. You will need to store this identifier on your client-side to make further requests on behalf of the customer. This can be done in cookies, local storage etc. Available APIs The Available Client APIs are documented here. Some of the things you can do with the APIs are: - Create, View and Update Contact - Create and List Conversations - Create, List and Update Messages HMAC Authentication The Client APIs also support HMAC Authentication. The HMAC token for the Channel can be obtained via running the following on your rails console. # replace api_inbox_id with your inbox id Inbox.find(api_inbox_id).channel.hmac_token Connecting to the Chatwoot WebSockets To get real-time updates from the agent dashboard, connect to Chatwoot WebSockets using the following URL. <your installation url>/cable Authenticating your WebSocket connection After subscribing using the customer's pubsub_token, you will receive events directed toward your customer object. The pubsub_token is provided during the customer creation API call. Example const connection = new WebSocket('ws://localhost:3000/cable'); connection.send(JSON.stringify({ command:"subscribe", identifier: "{\\"channel\\":\\"RoomChannel\\",\\"pubsub_token\\":\\""+ customer_pubsub_token+"\\"}" })); Find the full list of events supported by WebSockets here. Webhook Verification Once you create an API channel, we automatically generate a secret that you can use to verify the payload your application receives. You can read more about webhook verification here. Implementation Here is an example chat interface build over the Client APIs.

Synchronize WhatsApp templates using a Business Management token
If Chatwoot cannot retrieve the latest message templates from your WhatsApp Business Account, you can provide a Meta Business Management token for the affected inbox. This feature is available only on Chatwoot Cloud for WhatsApp inboxes created through Embedded Signup, including WhatsApp Business App Coexistence inboxes. It is not available for manually configured WhatsApp inboxes. Why does Chatwoot need this token? Chatwoot normally uses the credential created during WhatsApp onboarding to synchronize message templates. In some cases, that credential may still allow inbound and outbound messages while no longer having permission to read or manage WhatsApp business assets. A Business Management token provides the additional whatsapp_business_management permission required to retrieve templates from the WhatsApp Business Account. Chatwoot uses this token only for template synchronization. It is not used for: - Sending or receiving WhatsApp messages - Webhook delivery - Phone-number registration - Changing your WhatsApp Business Account - Managing your Meta business portfolio Before you begin Make sure that: - You are an administrator of the Meta business portfolio that owns the WhatsApp Business Account. - You can access the affected WhatsApp Business Account in Meta Business Settings. - Your business has a Meta app associated with that WhatsApp account. - You are an administrator of the Chatwoot account. - The inbox was created using WhatsApp Embedded Signup on Chatwoot Cloud. Treat the token like a password. Do not send it over email, chat, or support conversations. Chatwoot account administrators can view and copy the saved token from the inbox Configuration tab. Limit administrator access and treat this token as a sensitive credential. Step 1: Create or select a system user 1. Open Meta Business Settings. 2. Select the business portfolio that owns the WhatsApp Business Account. 3. Go to Users → System users. 4. Select an existing administrator system user. If you do not have one: 1. Click Add. 2. Enter a recognizable name, such as Chatwoot template sync. 3. Select Admin as the system user role. 4. Click Create system user. Use a dedicated system user when possible. This makes it easier to rotate or revoke the token without affecting other integrations. Step 2: Assign the WhatsApp Business Account The system user must have access to the same WhatsApp Business Account used by your Chatwoot inbox. 1. Select the system user. 2. Open Assigned assets. 3. Click Assign assets. 4. Select WhatsApp accounts. 5. Choose the WhatsApp Business Account connected to Chatwoot. 6. Grant permission to manage the account or enable full control. 7. Save your changes. Assign only the affected WhatsApp Business Account. Avoid granting access to unrelated business assets. Step 3: Generate the token 1. Select the system user. 2. Click Generate token. 3. Select the Meta app associated with your WhatsApp Business Account. 4. Click Next. Step 4: Choose the expiration period Meta may offer options such as: - 60 days: More secure, but you must replace the token when it expires. - Never: Reduces operational maintenance, but requires careful storage and manual rotation. Choose the option that follows your organization’s security policy. Even a non-expiring token can stop working if the system user, app, permission, business, or asset relationship is changed or revoked. Step 5: Select the required permission Select: - whatsapp_business_management This is the permission Chatwoot validates and uses to synchronize message templates. You do not need to select whatsapp_business_messaging or whatsapp_business_manage_events for this template-synchronization token. If whatsapp_business_management is unavailable, confirm that: - The selected app has WhatsApp configured. - The system user has access to the app. - The WhatsApp Business Account is assigned to the system user. - Your business and app meet Meta’s access requirements. Step 6: Copy the token 1. Complete the token-generation process. 2. Click Copy. 3. Store the token temporarily in a secure password manager or secrets vault. Meta may show the complete token only once. Step 7: Add the token to Chatwoot 1. In Chatwoot, go to Settings → Inboxes. 2. Select the affected WhatsApp inbox. 3. Open the Configuration tab. 4. Find Update Business Management Token. 5. Paste the token. 6. Click Update. Chatwoot checks that the token contains the granted whatsapp_business_management permission before saving it. After the token is saved, click Sync Templates. Your approved WhatsApp templates should appear after synchronization completes. To replace the token, generate a new token in Meta Business Settings and submit it through the same Chatwoot configuration field. Chatwoot will use the new token for future template synchronization. Revoking the saved token in Meta without replacing it in Chatwoot will cause template synchronization to fail. Troubleshooting The token does not have the required permission Confirm that whatsapp_business_management was selected and granted when the token was generated. You do not have permission to access this field The system user may not have access to the target WhatsApp Business Account, or the selected app may not be authorized for it. Recheck the system user’s assigned assets and app relationship. The token is invalid or cannot be validated The token may have expired, been revoked, or been generated for a different app or business. Generate a new token and try again. The token is accepted, but templates still cannot be synchronized Check that: - The system user has access to the exact WhatsApp Business Account used by the inbox. - The business account ID configured in Chatwoot is correct. - The templates exist in that WhatsApp Business Account. - The templates have not been deleted or moved to another account. The permission may be valid while access to the specific WhatsApp asset is still missing. Messages work, but template synchronization fails Messaging and business-management operations use different permissions. A credential can continue sending and receiving messages while lacking access to retrieve templates.
